Onboarding Guide to CPP Portal (Trainers)
Welcome to the the onboarding guide for CPP Training Portal. This guide is intended for LC Trainers. You can download a PDF of this guide using this link.
Congratulations on beginning a new CPP Learning Collaborative! Below are the first steps to get set up on the training portal:
- Locate your invitation email
- Create a new password
- Identify your portal resources
- Set up your trainer profile
- Register a new cohort
- Provide cohort information & pay cohort fee
- Notify participants of portal invitation
- Add participants to cohort
- Create & assign call groups
- Schedule LS1 & consult calls

1. Locate your invitation email
Once CPP Central adds you to a CPP Learning Collaborative in the portal, you will receive an invitation from the email address wordpress@childparentpsychotherapy.com. Click the blue ‘log in‘ link in the first line to enter the portal.
If this link does not work, navigate to the Login Page and the username and temporary password from the invitation to log in.

2. Create a new password
Once you have entered the website, you will be prompted to create a new password. If you cannot find this page, use this link to Reset Your Password.

3. Identify your portal resources
In addition to this guide, there are two other resources available to you 24/7 to help you in the portal:
- Trainer How-To Guide (step-by-step instructions for common portal activities)
- Training Portal Feedback Form (alert system for issues with portal functionality)
- Portal Support Office Hour: Tuesdays, 10:30-12:30am PT (1:30-2:30pm ET) – Click to join (password: portal)
4. Set up your trainer profile
Tip: Your account information, including contact and demographic details, can be updated at any time from your Profile page.
1. In the Dashboard, click on the ‘Profile‘ button in the dark-green top menu.

2. Scroll down to the Contact Information section and click ‘Edit’ in the top-left corner of the box.

3. Add all the information you feel comfortable including, then click ‘Save’ in the top-right corner.
(Note: Name and email address will be shared with other CPP trainers to facilitate the scheduling of make-up sessions. Contact information will only be used to send communications about CPP training and to analyze the impact of CPP dissemination activities. Summary statistics on geographic distribution may be shared with external CPP partners, such as systems leaders and funders.)

4. Repeat Steps 2 & 3 for the Demographic Information and Email Preferences sections of your profile.

5. Create a new cohort
1. In your Trainer Dashboard, click ‘Register A New Cohort’

2. Fill out the survey and click ‘Submit.’ (Note: This form only creates the cohort within the training portal. To complete setup, you will need to fill out another survey with additional cohort details and payment.)

6. Provide cohort information & pay cohort fee
1. After creating a cohort, click on the link ‘

2. Fill out the form.

3. One of the fields in the form asks for the expected revenue of the cohort. If you do not know your expected revenue, you can estimate it using the CPP LC Budget Template.

4. The form will use the expected revenue to calculate the CPP Cohort Fee, which will appear in bold. You will also see a link to pay the CPP Cohort Fee.

5. Click on the link and proceed through the payment steps on the UCSF Ecommerce website.
Tip: Make sure that you enter your cohort name when prompted. This is how CPP Central will confirm that the Cohort Fee has been paid for this cohort.

6. After paying the Cohort Fee, return to the Detailed Cohort Information form. The last question in the form asks whether you would like to display the standard case presentation template. If your system uses a template that is different than the CPP Case Presentation Template, select ‘No’ (Note: The CPP Training Portal currently only supports the standard case presentation template. Trainers opting out from this template will need to share their template with participants via email).

7. Click ‘Submit’ to save this data.

7. Notify participants of portal invitation
1. Email all participants to notify them of the upcoming email invitation from WordPress (sent automatically once a participant is added to the cohort) and explaining the steps to be completed before LS1.

8. Add participants to cohort
1. In your Trainer Dashboard, find the desired cohort and click ‘Manage’

2. In the Cohort page, click ‘Add Participants’ (located in the top-right of the cohort management window)

*** If you are adding multiple participants from a CSV, proceed directly to Step 4 ***
3. Enter the email addresses of each participant—separated by a comma—and click ‘Add Participants.’

4. Download the sample CSV template, enter your participant’s information, upload the CSV, select the desired cohort, and click ‘Submit’


5. Refresh the page. Your participants’ email addresses should now appear in the cohort table. Each participant will receive in email invitation to register for the website and fill out their personal information for the cohort.
9. Create & assign call groups
Note: Before assigning call groups, you will need to add participants to the cohort (see above).
1. In your Trainer Dashboard, find the desired cohort and click ‘Manage’

2. In the Cohort page, click on the ‘Call Groups’ tab

3. In the Call Groups tab, click the ‘Add a New Call Group’ button in the top-right corner

4. In the tan pop-up box, name your new call group and click ‘Create.’
Tip: It is strongly recommended to include your cohort name in the call group name. This makes it easier for trainers, as well as CPP Central and the website developers, to identify the call group.

5. To add a participant to the call group, select the desired call group from the dropdown menu and click ‘Add Members to Call Group’

6. In the tan pop-up box, select the desired participant from the dropdown menu and click ‘Add’

10. Schedule LS1 & consult calls
1. In your Trainer Dashboard, find the desired cohort and click ‘Manage’

2. Under the cohort name, click the ‘Add An Event’ tab

3. At the top of the form, add an Event Title and Description. These will be visible to all trainers and participants.
(Note: If this is a virtual training, it is highly recommended that you add the Zoom link in the description).

4. Scroll down to the Event Time & Date. If you are scheduling a single-day event, enter the desired date, time, and timezone and move on.
(Note: The timezone dropdown offers a list of selected major cities in the timezone–any city with the same time zone as you training is sufficient.)

If you are scheduling a recurring event, proceed to the relevant section below for additional guidance:
- 4a. Repeating daily event with fixed time (such as a Learning Session)
- 4b. Repeating daily event with varying time (such as a Learning Session)
- 4c. Repeating monthly event (such as a consult call)
Tip: There is more than one way to schedule events over multiple days. For example, you can create a single-day event for each day of a three-day training, or you can create a recurring event that repeats three times.
4a. Repeating daily event with fixed time
First, enter the desired the start date, start time, end time, and time zone for the event. Second, set the frequency of the event (usually ‘daily’ and ‘every 1 day’). Third, set the date on which the event will end–that is, the last instance of the event will occur on this day. Make sure you have selected the correct month and year.

Finally, if desired, specify any days within the repeating range where the event will NOT occur (for example, below is an event that repeats Wednesday through Monday, but skips Saturday and Sunday). Once complete, move directly to Step 5 below.

4b. Repeating daily event with varied time
First, enter the desired the start date, start time, end time, and time zone for the event. Second, click Add More Events (see below).

Third, for each additional day of the event, set the start time and end time. For example, the event below occurs on November 5, 8am-5pm; November 6, 10am-3pm; and November 7, 8am-1pm. Once complete, move directly to Step 5 below.
(Note: Typically these events will be set to ‘Happens once’ and ‘on the same day’)

4c. Repeating monthly event with fixed time
First, enter the desired the start date, start time, end time, and time zone for the event. Second, set the frequency of the event (usually ‘monthly’ and ‘every 1st/2nd/3rd/etc [day of the week]’). Third, set the date on which the event will end–that is, the last instance of the event will occur on this day. Make sure you have selected the correct month and year.
Tip: If your consult call repeats two days a month (for example, the first and third Wednesdays), you will need to go through this process two times.

Finally, if desired, specify any days within the repeating range where the event will NOT occur (for example, below is an event that repeats on the second Wednesday of the month, but skips Christmas Eve). Once complete, move directly to Step 5 below.

5. After specifying the date and time of your event, scroll down to the Event Image and Event Category fields. You may upload an event image if you would like (all trainers and participants will be able to see this image). Under Event Category, set the type of training as LS1/2/3 or Consult call.

6. Under ‘Venue Details’, first enter the venue details (if the event is virtual, search and select the ‘Virtual’ option in the search box). If you have previously added an in-person venue, you can find it by searching fore the name. Otherwise, you can create a new venue and add the address.
(Note: If you are creating a virtual event, don’t forget to check the box ‘Is this a virtual event?’ after selecting a venue.)

7. Finally, under ‘Additional Fields’, select the appropriate cohort or call group, and press ‘Submit’

11. Notify participants of portal invitation
1. In your Trainer Dashboard, click ‘All Cohort Notices’

2. Select the cohort to which you would like to direct the notice, enter a title and message, and click ‘Submit’
